n8n Workflow Automation for Rental Contracts and Signing

This project delivers a highly secure, automated document orchestration system for a retail business owner managing property contracts. By self-hosting the entire infrastructure, the solution ensures absolute data sovereignty and GDPR compliance while automating the multi-stage signing process for all stakeholders.

Project Overview

Automated Contract Orchestration: The system replaces a manual, error-prone paperwork process with a sophisticated n8n workflow. It handles the lifecycle of property contracts, ensuring they are generated and routed to the Admin, Applicant, and Landlord in the precise order required for legal validity.

Secure Infrastructure & Compliance: To meet strict GDPR requirements for EU-only data, the solution was deployed via self-hosting on DigitalOcean using Linux. By avoiding third-party SaaS signing platforms, the client maintains full control over sensitive personal information and document storage.

Real-time Tracking & Visibility: Every stage of the signing process is synchronized with SmartSuite, providing the business owner with a real-time dashboard. The workflow automatically updates record statuses and triggers notifications as participants complete their respective actions.

Open-Source Integration: Utilized an open-source digital signature solution integrated via API into the n8n flow. This reduced monthly software overhead costs while providing a professional, legally binding signing experience for both applicants and landlords.
